At Uganda Visa ("we," "our," or "us"), operated by Uganda eVisa, we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your personal information when you use our website and Uganda e-Visa assistance services.
1. Information We Collect
When you use our website to request assistance with a Uganda e-Visa application, we may collect:
- Personal Information: full name, date of birth, nationality, passport details, and contact information.
- Immigration application answers: marital and residence status, travel history, accompanying children and answers to the immigration form's questions about visa refusals, deportation, convictions, proceedings and mental illness, including explanations where requested.
- Travel Information: intended travel dates, entry or exit details, accommodation information, and other relevant application details.
- Payment Information: payments are processed securely by third-party payment providers. We do not store full card details.
- Technical Data: IP address, browser type, device information, cookies, and usage data used to improve website functionality and security.
2. How We Use Your Information
- To assist customers in preparing and submitting visa applications based on the information they provide.
- To communicate with you about application status, required documents, payment, or support inquiries.
- To improve our website, services, customer experience, and internal processes.
- To prevent fraud, protect our website, and ensure the security of users and transactions.
3. Data Protection and Security
We implement reasonable technical and organisational security measures to protect personal information from unauthorised access, misuse, loss, or disclosure. Application documents use the protected application workflow; do not send passport files, card details or other sensitive documents in a general support message.
4. Data Sharing and Third Parties
We do not sell or rent your personal information. We may share data only where necessary, including with:
- Government authorities: your data may be shared with relevant authorities where required to process your visa application based on your authorisation.
- Payment processors: secure third-party services process online payments on our behalf.
- Legal and compliance parties: information may be disclosed where required by law or necessary to comply with legal obligations.
5. Cookies and Tracking Technologies
Essential cookies protect your session and keep the application working. With your permission, we also use Google Analytics to understand public page visits and application steps. Analytics stays off until you choose “Allow analytics”. Choose “Essential only” to decline, or use “Cookie settings” on a public page to change your choice. We remember that choice for up to 180 days. We exclude personal form answers, names, email addresses, passport numbers, documents, application references and URL query strings from Google Analytics. Private application, payment and document pages do not load the Analytics tag. With the same permission, our own dashboard records public page paths, approximate country and active viewing time. It excludes known automated clients and signed-in administrators, uses a hashed session identifier, stores no raw IP address in these measurements and keeps them for up to 48 hours. Hidden tabs and time after 60 seconds without interaction are excluded from active time. Google processes consented usage information under its privacy policy.
6. Data Retention
We retain personal information only for as long as necessary to provide visa assistance services, respond to support requests, process payments, and comply with legal or regulatory requirements. Once information is no longer needed, it is securely deleted or anonymised where appropriate.
7. Your Rights
Depending on applicable law, you may have the right to:
- Request access to your personal data.
- Correct or update inaccurate information.
- Request deletion of personal data, subject to legal and operational restrictions.
- Opt out of marketing communications.
8. Changes to This Privacy Policy
We may update this Privacy Policy periodically. Any changes will be posted on this page with an updated effective date.
9. Consent and Marketing Communications
By submitting information through our website, you consent to the collection, processing, and use of your personal data for the purpose of providing visa assistance services.
Where required by law, we will obtain your explicit consent before sending marketing communications. You may withdraw your consent or unsubscribe from marketing emails at any time by contacting us or using the unsubscribe link included in our communications.
We do not send unsolicited marketing messages and do not sell personal information to third parties.

Use the right channel for personal documents
The preparation checker reads file properties on your device without uploading those files. Actual application uploads are a separate step. Use the protected application workflow when documents are requested; a general support message is for questions.
For a data access, correction or deletion enquiry, contact support using the email associated with your request. Include the request reference where available and describe what you want reviewed; do not send additional identity documents unless a protected verification route is provided.
